These terms apply to anyone using the services of Quit Smoking Clinic Ladywood ("we", "us", "our") or our website at www.bhamquitsmoking.co.uk. By booking an appointment, attending the clinic, or using our website you accept these terms.
Quit Smoking Clinic Ladywood is based at 212 St Vincent Street West, Ladywood, Birmingham B16 8RP, and operates in partnership with Birmingham City Council as part of its public health stop-smoking offer.
1. About our service
We provide a 12-week stop-smoking programme that includes:
- A free initial consultation (no obligation to proceed)
- Fortnightly one-to-one or small-group sessions with an NCSCT-accredited advisor
- A personalised quit plan
- Free Nicotine Replacement Therapy (NRT) or vaping products where clinically suitable (see clause 4)
- Behavioural support and tools for managing cravings
- Appointments in person at our clinic, or by telephone or online video
2. Eligibility
To join the full subsidised programme you should be:
- Aged 12 or over (with additional safeguarding arrangements for under-18s)
- A current or recent smoker who wants to stop
- You live, work, or are registered with a GP in Birmingham
- Willing to commit to fortnightly sessions for the duration of the programme
We reserve the right, in line with NHS clinical guidance, to decline to supply specific NRT products where they would not be clinically appropriate.
3. Cost of the programme
The Birmingham Stop Smoking Service is funded by Birmingham City Council. The advice, behavioural support and fortnightly sessions are free at the point of use for all eligible members.
The only potential cost is for your Nicotine Replacement Therapy (NRT) or vaping products, and this depends on your NHS prescription status:
- If you do not pay for NHS prescriptions (for example, you are under 16, in full-time education aged 16–18, aged 60 or over, pregnant or recently had a baby, on Income Support, Universal Credit with low earnings, JSA, ESA, Pension Credit Guarantee Credit, or hold a valid medical exemption or HC2 certificate): your NRT is supplied free of charge and the entire 12-week programme costs you nothing.
- If you do pay for NHS prescriptions: you will be charged one single standard NHS prescription fee (currently £9.90 in England, subject to annual NHS pricing) for the whole 12-week course of NRT — not per item, not per week.

4. Nicotine Replacement Therapy (NRT) and vapes
NRT and vape products are provided as part of the Birmingham Stop Smoking Service, subject to the following:
- The product, strength and quantity supplied are decided by your NCSCT-accredited advisor, in line with NHS and NCSCT best-practice guidance and your individual clinical needs.
- All NRT and vape products are supplied directly by the clinic at your appointment/consultation. It can also be delivered to your address in Birmingham to help make the service more accessible/convenient. We do not issue vouchers for collection at pharmacies or elsewhere.
- Products are supplied for your personal use only. They may not be resold, given to others, or used for any purpose other than your own quit attempt.
- Continued supply depends on continued engagement with the programme and following your agreed quit plan.
- We may decline to supply a particular product where there is a clinical reason (for example, an interaction with your existing medication), where the product is temporarily unavailable, or where you are no longer eligible for the service.
- Vaping products are supplied only to adults aged 18 and over, and are not offered during pregnancy. Where you are pregnant, we will support you with traditional NRT instead, in line with NHS and NCSCT guidance.
- Any product you receive is supplied "as is" — we are not the manufacturer, and product-specific safety information is provided in the packaging.
5. Appointments
- Please arrive on time for your appointment. We have limited slots and running late may mean we cannot see you that day.
- If you need to cancel or reschedule, please give us as much notice as possible — at least 24 hours where you can.
- We know quitting isn't always linear, and life can get in the way of sessions. If we don't hear from you for a while, we may pause your place to free up a slot for someone else — but you're always welcome to come back and pick up where you left off when you're ready.
- We may need to cancel or reschedule appointments occasionally (for example, due to staff illness). We will give you as much notice as we can.
6. Our commitments to you
Every NCSCT-accredited stop smoking advisor at Quit Smoking Clinic Ladywood commits to the following standards of care while you are a member of our service:
6.1 Professional standard of care
Your advisor takes professional responsibility for your care to the same standard expected of any NHS-aligned stop smoking service in Birmingham, in line with NCSCT and NHS best-practice guidance. This applies whether you are seen face-to-face at the clinic, by telephone, at a drop-in session, or by online video.
6.2 Identification
Your advisor will share their name and confirm they are NCSCT-accredited at the start of your first session. They will identify themselves whenever they recommend NRT, vapes or any other product, and will be happy to share their NCSCT registration number on request.
6.3 Acting in your best interest
Your advisor will only recommend an NRT product, vape, or course of action when, in their professional clinical judgement, it is in your best interest. They will decline to recommend a product where:
- It is not clinically suitable for you (for example, due to a medication interaction, a relevant health condition, or a contraindication);
- They do not have enough information about your health to make that recommendation safely; or
- A face-to-face assessment would be needed before a particular product could be safely supplied.
In those cases your advisor will tell you why, and either ask for more information, refer you to your GP, or recommend a safer alternative.
6.4 Privacy and confidentiality
Your advisor will take all reasonable steps to protect your personal and health information, in line with our Privacy Policy and the UK General Data Protection Regulation.
6.5 Liaison with your GP
Where it is clinically necessary or required by NHS guidance, your advisor will notify your GP that you are using our service and what products have been recommended. They will explain to you when this is happening and why. In a clinical emergency, your advisor may need to contact your GP, NHS 111, social services or the emergency services without first asking your consent.
6.6 Respectful, non-judgemental care
You will be treated with dignity and without judgement, regardless of how long you have smoked, how many times you have tried to quit before, or your circumstances.
7. Your commitments to us
To get the most from the programme — and to keep yourself and our advisors safe — you commit to the following:
7.1 Accurate information
You will answer all questions about your health, smoking history and medication truthfully and as fully as you can. You will tell us promptly if any of this information changes during the programme — including pregnancy, new medications, or new diagnoses.
7.2 Registering for yourself
You will register and attend the programme only on your own behalf. You will not register, complete consultation forms, or attend appointments on behalf of anyone other than yourself.
7.3 Following instructions for NRT and vapes
You will read and follow the instructions provided with any NRT or vape product you receive — including dosing, frequency, and any specific warnings. If you are unsure how to use a product, you will contact us before continuing to use it. You will not use a product in a way other than directed.
7.4 Accepting our clinical decisions
Sometimes your advisor may decide that a particular product isn't right for you. This could be because it wouldn't work safely with medication you're already taking, because of a health condition that makes it unsuitable, or because they need to see you face-to-face before they can recommend it. If they say no to something you've asked for, please accept their decision — it's there to keep you safe. They'll always explain the reason and help you find an alternative that works.
7.5 Respectful behaviour
You will treat our advisors, support staff and other members with respect. We do not tolerate abusive, threatening, discriminatory or harassing behaviour. Where such behaviour occurs we reserve the right to end your engagement with the programme immediately and, where appropriate, to refer the matter to the police or Birmingham City Council Public Health team.
7.6 GP notification
Where notifying your GP is required for clinical safety, you accept that we will do so. Where it is offered but not required, the choice is yours; if you decline, you take personal responsibility for telling your GP yourself about any products you receive and the fact that you have stopped smoking — especially where you take medication that interacts with smoking. In a genuine emergency, we may contact a healthcare professional or the emergency services on your behalf regardless of your prior wishes.
7.7 Looking after your NRT and vapes
You will store any NRT or vape products safely and out of reach of children and other adults. You will not share, sell or pass on these products to anyone else, even to a partner or family member quitting at the same time.
7.8 Checking expiry dates
You will check the expiry date of any product before use and will not use products beyond their expiry date. Please return any expired or unused products to the clinic — we can dispose of them safely.
7.9 Reporting side effects
You will tell your advisor — promptly and at the next available appointment, or sooner if necessary — about any side effects, unexpected reactions, or concerns you have about a product we have recommended. You will also tell us if you feel a product is not working for you, so that we can adjust your plan.
7.10 Staying in touch
We know quitting isn't always linear, and sessions can be hard to make. We just ask that you let us know if you need to cancel or rearrange, and that you stay in contact during your time with us — even a quick text to say you're still working on it is enough.
8. Important health information
Our advisors are NCSCT-accredited stop-smoking specialists. They are not GPs, pharmacists or specialist clinicians. Information shared during sessions is for stop-smoking support purposes and does not replace medical advice from a qualified clinician.
If you have a serious health concern, please contact your GP, NHS 111, or in an emergency call 999.
Some medications interact with smoking — when you stop smoking, the dose of certain medications may need to be reviewed by your GP or prescribing clinician. Please tell us what you are taking, and tell your GP that you have stopped smoking.
9. Complaints
We want every member to have a positive experience. If something goes wrong, please tell us first — we will always try to put it right.

- We will acknowledge any formal complaint within 3 working days and aim to provide a substantive response within 20 working days.
- If you remain dissatisfied, you can escalate your complaint to Birmingham City Council Public Health team.

By using our website you agree that:
- The content on our website is for general information about our service. It is not a substitute for medical advice.
- You will not use the website in any way that is unlawful, harmful, or that interferes with other users.
- You will not attempt to gain unauthorised access to any part of the website or its underlying systems.
- The content of our website (including text, images, logos and design) is our property or used with permission, and may not be reproduced without our consent.
- Links to external websites are provided for convenience. We are not responsible for the content of external sites.
11. Limitation of liability
Nothing in these terms limits or excludes our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Anything else that cannot be excluded under English law
Subject to that, we provide our service and website on a reasonable-care basis and cannot guarantee that they will be uninterrupted, error-free, or suitable for every individual circumstance.
12. Changes to these terms
We may update these terms from time to time. The "last updated" date at the top will always reflect the current version. Material changes will be communicated to existing members at their next session.
13. Governing law
These terms are governed by the laws of England and Wales. Any dispute will be subject to the non-exclusive jurisdiction of the English and Welsh courts.
